If your institution, unit, or department is listed on the Schedule as the \u201cOfficial Repository\u201d for the record, it must retain the record for the length of time designated under the Schedule. &nbsp;If not, the record should be forwarded to the designated Official Repository. &nbsp;Note that the Official Repository is responsible for retaining the original record and not copies of such record.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-role-records-retention-officer\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-role-records-retention-officer\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-role-records-retention-officer\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-role-records-retention-officer\"><h3>What is the role of the \u201cRecords Retention Officer\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-role-records-retention-officer\" aria-labelledby=\"accordion-heading-accordion-role-records-retention-officer\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Each institution\/unit is required to appoint at least one individual to serve as the Records Retention Officer for that institution\/unit, although they may appoint more than one. &nbsp;The Records Retention Officer(s) shall assist the institution\/unit in the management of records in accordance with the NSHE Records Retention and Disposition Schedule, and shall further assist institution\/unit personnel in learning and complying with the Schedule.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-records-retention-officer-funded\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-records-retention-officer-funded\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-records-retention-officer-funded\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-records-retention-officer-funded\"><h3>Is the Records Retention Officer a NSHE funded position?<\/h3><\/button><div id=\"accordion-collapse-accordion-records-retention-officer-funded\" aria-labelledby=\"accordion-heading-accordion-records-retention-officer-funded\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>No.&nbsp; The NSHE policy was developed pursuant to NAC 239.745, and has been approved for use by the Board of Regents and the state records committee.&nbsp; NSHE institutions\/units must follow only the&nbsp;<a href=\"https:\/\/nshe.nevada.edu\/tasks\/sites\/Nshe\/assets\/File\/NSHE%20Records%20Retention%20schedule%20(rev%20Aug%202016).pdf\">NSHE Records Retention and Disposition Schedule<\/a>.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\">Records Defined<\/h3>\n\n\n\n<div id=\"accordion-what-is-a-record\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-what-is-a-record\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-what-is-a-record\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-what-is-a-record\"><h3>What is a \u201crecord\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-what-is-a-record\" aria-labelledby=\"accordion-heading-accordion-what-is-a-record\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>A \u201crecord\u201d is any form of recorded information, regardless of physical characteristics or media, that is [i] created, [ii] received, [iii] recorded, [iv] maintained, or [v] legally filed in the course of the institution or unit\u2019s [a] business activities or [b] fulfillment of its legal obligations.&nbsp; Records serve as evidence of the institution or unit\u2019s organization, functions, policies, decisions, procedures, operations, transactions, or other activities.&nbsp; The term does not include \u201cnonrecord\u201d &nbsp;materials.&nbsp; (See NAC 239.705)<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-what-is-a-non-record\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-what-is-a-non-record\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-what-is-a-non-record\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-what-is-a-non-record\"><h3>What is a \u201cnonrecord\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-what-is-a-non-record\" aria-labelledby=\"accordion-heading-accordion-what-is-a-non-record\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>\u201cNonrecords\u201d include, without limitation:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Published books and pamphlets, including published materials printed by a governmental printer;<\/li>\n\n\n\n<li>Informal notes and \u201cconvenience copies\u201d;<\/li>\n\n\n\n<li>Drafts or documents that are clearly pre-decisional or deliberative;<\/li>\n\n\n\n<li>Ad hoc reports and reference materials not relating to a specific project;<\/li>\n\n\n\n<li>Stationary and unused blank forms, except ballots;<\/li>\n\n\n\n<li>Brochures, newsletters, magazines, catalogs, and price lists;<\/li>\n\n\n\n<li>Databases and backup files;<\/li>\n\n\n\n<li>Any other documentation that does not serve as the record of an official action of a state agency; and<\/li>\n\n\n\n<li>Work papers used to collect or compile data, or drafts developed from those work papers, unless:\n<ul class=\"wp-block-list\">\n<li>An appraisal conducted by the institution\/unit or state archivist indicates that the work papers or drafts have (i) legal, (ii) fiscal, or (iii) research or archival value.&nbsp; NSHE discourages the storage of records on private machines and or networks.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-convenience-copy\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-convenience-copy\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-convenience-copy\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-convenience-copy\"><h3>What is a \u201cconvenience copy\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-convenience-copy\" aria-labelledby=\"accordion-heading-accordion-convenience-copy\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>All copies of a document that are not the official record are considered convenience copies. Convenience copies are nonrecords and may be destroyed at any time within the retention period, but must not be kept longer than the official record.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Retention Schedules and Periods<\/strong><\/h3>\n\n\n\n<div id=\"accordion-what-retention-schedule\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-what-retention-schedule\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-what-retention-schedule\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-what-retention-schedule\"><h3>What is a retention schedule?<\/h3><\/button><div id=\"accordion-collapse-accordion-what-retention-schedule\" aria-labelledby=\"accordion-heading-accordion-what-retention-schedule\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>There are two types of retention schedules under the NSHE policy: the general records retention schedule and any special records retention schedule. The general retention schedule (referred to in the NSHE policy as the \u201cSchedule\u201d) is a comprehensive list of records created in the course of NSHE business activities, indicating for each record type the official repository, length of time the records are to be maintained, and their disposition.&nbsp; Each NSHE institution and unit must manage its records in accordance with the Schedule. <\/p>\n\n\n\n<p>Special records retention schedules may be developed, if approved by the Chancellor after review by the state records committee, to address the retention of records unique to limited aspects of an institution or unit\u2019s operation.&nbsp; Approved special schedules, if any, are published on the institution or unit website and in the&nbsp;<a rel=\"noreferrer noopener\" href=\"http:\/\/system.nevada.edu\/tasks\/sites\/Nshe\/assets\/File\/BoardOfRegents\/Procedures\/PGMCH18RECORDSRETENTIONANDDISPOSITIONSCHEDULE.pdf\" target=\"_blank\">NSHE Procedures and Guidelines Manual<\/a>.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-who-determines-records-duration\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-who-determines-records-duration\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-who-determines-records-duration\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-who-determines-records-duration\"><h3>Who determines how long records should be kept?<\/h3><\/button><div id=\"accordion-collapse-accordion-who-determines-records-duration\" aria-labelledby=\"accordion-heading-accordion-who-determines-records-duration\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Retention periods are based on state, federal, NCAA, and research sponsor requirements, and are approved by the state records committee.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-decide-increase-length\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-decide-increase-length\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-decide-increase-length\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-decide-increase-length\"><h3>May my institution\/unit\/department decide to increase or decrease the length of time records are retained?<\/h3><\/button><div id=\"accordion-collapse-accordion-decide-increase-length\" aria-labelledby=\"accordion-heading-accordion-decide-increase-length\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>The Schedule identifies the minimum time period the listed records must be retained, meaning records disposition must not occur before this retention time period expires.&nbsp; You are advised to implement regular, routine disposition procedures and not to \u201cselectively retain\u201d records beyond the applicable retention period absent a specific business need.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-official-records-maintained-elsewhere\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-official-records-maintained-elsewhere\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-official-records-maintained-elsewhere\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-official-records-maintained-elsewhere\"><h3>My institution\/unit\/department routinely keeps copies of records that are maintained elsewhere as the \u201cofficial record\u201d. length of time for retention of an email?<\/h3><\/button><div id=\"accordion-collapse-accordion-exact-length-email-retention\" aria-labelledby=\"accordion-heading-accordion-exact-length-email-retention\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Retention is based upon the content of the email message, not the fact that it is an email message.\u00a0 If the email message meets the criteria of a record, it must be managed and kept in accordance with the Schedule.\u00a0 If the email is a nonrecord it may be disposed of at any time when it no longer serves a business purpose.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-print-email-for-retention\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-print-email-for-retention\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" class=\"accordion-body\">\n<p>Records should be maintained in the most efficient cost effective format consistent with sound records management principles, and any applicable laws, rules, regulations or court decisions.\u00a0 You may destroy one format of the record (either paper or electronic) if you retain the other for the retention period listed in the Schedule. You must be able to access the electronic record for the entire retention period. Records that your office holds in both electronic and paper formats, which are exact duplicates, should both be destroyed once they have met the requisite retention period.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-destroy-records-after-scan\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-destroy-records-after-scan\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-destroy-records-after-scan\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-destroy-records-after-scan\"><h3>Can I destroy records that have been scanned?<\/h3><\/button><div id=\"accordion-collapse-accordion-destroy-records-after-scan\" aria-labelledby=\"accordion-heading-accordion-destroy-records-after-scan\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>An official record can be in the form of original paper, or may be a digital surrogate, at the discretion of the Official Repository, provided that you must be able to access the scanned version for the entire retention period.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-how-organize-email\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-how-organize-email\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-how-organize-email\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-how-organize-email\"><h3>Why and how do we need to organize our email?<\/h3><\/button><div id=\"accordion-collapse-accordion-how-organize-email\" aria-labelledby=\"accordion-heading-accordion-how-organize-email\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>The key to effectively managing email is to get rid of the nonrecords and any transient records that have outlived their administrative, legal, and\/or fiscal value as quick as possible so only those emails that need to be managed on an on-going basis are left.\u00a0 NSHE recommends you approach the management of email in a manner similar to the handling of \u201csnail mail\u201d at work and home:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Open the email and review the document\u2019s content; this may mean thoroughly reading the document, but usually, only a cursory look at the document, the subject line, and\/or the sender is needed to determine whether it is a:\n<ul class=\"wp-block-list\">\n<li>Nonrecord and should be deleted immediately, just as \u201csnail mail\u201d nonrecords are thrown into the trash can or recycle bin;<\/li>\n\n\n\n<li>Transient record which should be disposed of as soon as the information is no longer of administrative, legal, or fiscal value; or<\/li>\n\n\n\n<li>Record and therefore, should be placed in an appropriate folder by record type\/series, project, retention time, or other filing schema that works for your office\/organization and allows that unit to effectively manage the life cycle of the record.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/div><\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\"><strong><strong><strong>Disposition<\/strong><\/strong><\/strong><\/h3>\n\n\n\n<div id=\"accordion-when-dispose\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-when-dispose\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-when-dispose\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-when-dispose\"><h3>When should I dispose of records for which I am responsible?<\/h3><\/button><div id=\"accordion-collapse-accordion-when-dispose\" aria-labelledby=\"accordion-heading-accordion-when-dispose\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Records may not be destroyed until their required retention period has lapsed.\u00a0 Further, in the event of a Disposition Hold, disposition must be suspended.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-proper-record-disposal\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-proper-record-disposal\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-proper-record-disposal\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-proper-record-disposal\"><h3>What is the proper way to dispose of records?<\/h3><\/button><div id=\"accordion-collapse-accordion-proper-record-disposal\" aria-labelledby=\"accordion-heading-accordion-proper-record-disposal\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Column 4 of the Schedule sets forth the proper disposition of records following the expiration of their retention period. Many records may be disposed of by \u201cregular\u201d means, such as recycling or deleting the electronic file.&nbsp; Records which contain confidential or other sensitive information, however, must be destroyed in a \u201csecure\u201d manner that will prevent reconstruction or retrieval of the information.<\/p>\n\n\n\n<p>For paper records, \u201csecure\u201d destruction includes but is not limited to incineration, shredding, and pulping.<\/p>\n\n\n\n<p>For email and other electronic records, \u201csecure\u201d destruction includes but is not limited to overwriting, degaussing, and physical destruction of the storage media.<\/p>\n\n\n\n<p>If you are in doubt about the sensitivity of certain documents or about an appropriate disposal method, you should contact your supervisor.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-disposition-record-is-archival\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-disposition-record-is-archival\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-disposition-record-is-archival\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-disposition-record-is-archival\"><h3>What am I supposed to do if the disposition for my record is \u201cArchival Review\u201d or \u201cArchives\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-disposition-record-is-archival\" aria-labelledby=\"accordion-heading-accordion-disposition-record-is-archival\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>If the disposition for the record in question is listed as \u201cArchival Review\u201d, a determination of whether to preserve or dispose of the record must be made.&nbsp; In such cases, the record should be submitted to the institution\/unit archives or State Archives for review.<\/p>\n\n\n\n<p>If the disposition for the record in question is listed as \u201cArchives\u201d, it must be transferred to the institution\/unit archives or State Archives for preservation.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-disposition-record-anything-other-than-archival\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-disposition-record-anything-other-than-archival\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-disposition-record-anything-other-than-archival\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-disposition-record-anything-other-than-archival\"><h3>If I have records for which the disposition is anything other than \u201cArchival Review\u201d or \u201cArchives\u201d, but I think the records have potential historical value, what do I do?<\/h3><\/button><div id=\"accordion-collapse-accordion-disposition-record-anything-other-than-archival\" aria-labelledby=\"accordion-heading-accordion-disposition-record-anything-other-than-archival\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>All NSHE employees are encouraged to provide records with content they believe may be of value to documenting the institution, unit or NSHE\u2019s history, to the institution\/unit archives for review prior to destruction.&nbsp; The institution\/unit archivist has the authority to designate such records as archival.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-retain-for-sentimental\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-retain-for-sentimental\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-retain-for-sentimental\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-retain-for-sentimental\"><h3>May I retain for sentimental or other personal purposes records for which the applicable retention period has expired?<\/h3><\/button><div id=\"accordion-collapse-accordion-retain-for-sentimental\" aria-labelledby=\"accordion-heading-accordion-retain-for-sentimental\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Yes, but only if all of the following prerequisites apply:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The retention period has expired;<\/li>\n\n\n\n<li>The listed disposition for the record is \u201cRegular\u201d; and<\/li>\n\n\n\n<li>The record does not otherwise have any (i) legal, (ii) fiscal, or (iii) research or archival value.<\/li>\n<\/ul>\n\n\n\n<p>When in doubt, please contact your institution\/unit\u2019s Records Retention Officer(s).<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-what-is-a-disposition-hold\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-what-is-a-disposition-hold\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-what-is-a-disposition-hold\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-what-is-a-disposition-hold\"><h3>What is a \u201cDisposition Hold\u201d?<\/h3><\/button><div id=\"accordion-collapse-accordion-what-is-a-disposition-hold\" aria-labelledby=\"accordion-heading-accordion-what-is-a-disposition-hold\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Certain events, called \u201cDisposition Holds\u201d, may occur that will require the immediate stoppage or delay of regular disposition practices of records, nonrecords, and transient records:<\/p>\n\n\n\n<p><strong>Audits<\/strong><\/p>\n\n\n\n<p>When an audit of your area or function is begun, all destruction of records in your custody must cease.&nbsp; During the audit, records should be made available to the auditors subject to confidentiality laws. Upon the completion and resolution of the audit, you may begin to dispose of records in accordance with the Schedule.<\/p>\n\n\n\n<p><strong>Investigations<\/strong><\/p>\n\n\n\n<p>When you are notified of an investigation involving your area or function, all relevant records, nonrecords, and transient records must be preserved until the investigation is completed.&nbsp; You should consult with your legal counsel for specific advice.<\/p>\n\n\n\n<p><strong>Litigation\/Legal Holds<\/strong><\/p>\n\n\n\n<p>When you receive notification of or reasonably anticipate litigation, you must (i) suspend the destruction or other disposition of all records, nonrecords, and transient records reasonably related to the subject matter of the litigation, (ii) put in place a litigation hold to ensure the preservation of documents, and (iii) consult with your System or General Counsel.<\/p>\n\n\n\n<p>All destruction of records, nonrecords, and transient records pertaining to the litigation hold must be stopped until the matter has been resolved.&nbsp; You will be notified by your System or General Counsel when the matter is resolved and advised regarding the proper disposition of the records.<\/p>\n\n\n\n<p>All questions regarding any Disposition Holds must be directed to System or institution General Counsel.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-stop-counting-retention-period\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-stop-counting-retention-period\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-stop-counting-retention-period\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-stop-counting-retention-period\"><h3>Does this mean that I stop counting the retention period when a Disposition Hold has been placed on my records and start up again after the hold ends?<\/h3><\/button><div id=\"accordion-collapse-accordion-stop-counting-retention-period\" aria-labelledby=\"accordion-heading-accordion-stop-counting-retention-period\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>No.&nbsp; The retention clock keeps ticking through the \u201cDisposition Hold\u201d. If a retention period ends while the records are still on hold, do not destroy the records. The records should not be destroyed until the retention period has lapsed and you have been notified by System or institution General Counsel that the Disposition Hold has ended.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<h3 class=\"wp-block-heading\"><strong><strong><strong><strong><strong><strong><strong>Storage<\/strong><\/strong><\/strong><\/strong><\/strong><\/strong><\/strong><\/h3>\n\n\n\n<div id=\"accordion-central-repository\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-central-repository\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-central-repository\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-central-repository\"><h3>Is there a central repository where I should send my records pending expiration of the retention period?<\/h3><\/button><div id=\"accordion-collapse-accordion-central-repository\" aria-labelledby=\"accordion-heading-accordion-central-repository\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>In most cases, no.&nbsp; Institutions are permitted, but not required, to create central document repositories, which may include centralized electronic storage.&nbsp; Most institutions currently do not have such repositories and no new allocations will be made to create or operate the same.&nbsp; Therefore, you will likely need to retain your records within existing resources.<\/p>\n<\/div><\/div><\/div>\n\n\n\n<div id=\"accordion-unable-to-comply-because-of-resources\" class=\"wp-block-cgb-scs-accordion nshe-accordion\"><button id=\"accordion-heading-accordion-unable-to-comply-because-of-resources\" class=\"vanilla-accordion nshe-accordion accordion-tab \" role=\"button\" data-target=\"#accordion-collapse-accordion-unable-to-comply-because-of-resources\" aria-expanded=\"false\" aria-controls=\"accordion-collapse-accordion-unable-to-comply-because-of-resources\"><h3>What if my department does not have personnel, budgetary resources, or space to comply with this policy?<\/h3><\/button><div id=\"accordion-collapse-accordion-unable-to-comply-because-of-resources\" aria-labelledby=\"accordion-heading-accordion-unable-to-comply-because-of-resources\" class=\"vanilla-panel accordion-panel \"><div class=\"accordion-body\">\n<p>Compliance with the&nbsp;<a rel=\"noreferrer noopener\" href=\"http:\/\/system.nevada.edu\/tasks\/sites\/Nshe\/assets\/File\/NSHE%20Records%20Retention%20schedule%20(rev%20Aug%202016).pdf\" target=\"_blank\">NSHE Records Retention and Disposition Schedule<\/a>&nbsp;is mandatory for all NSHE institutions, units, and employees.&nbsp;
